Event and marketing material storage
An agency's stock room is where the last event's booth goes to be forgotten until the next one is in three days. We keep it instead: every panel, banner, sample kit and box of giveaways photographed and coded, and delivered to the venue on the morning you choose, then collected when the show closes.

The short answer
- Every item photographed and listed with a code, so the kit for an event is assembled from the catalogue, not from memory.
- Delivery to the venue, the store or the office on the date and in the slot you set; collection from the venue at close. Each address is a trip.
- Par levels and low-stock alerts on giveaways, brochures and uniforms, so a campaign does not start with an empty box.
- Condition photographs on every movement in and out; damage is visible the day it happens, not at the next event.
- Plans from 1,250,000 VND a month for 12 boxes standard; booth hardware in standard sections, printed fabric, foam board and electronics in air-conditioned ones. VAT invoices, PO references, team logins.
What lives in a marketing store
| Item | Section | How it is handled |
|---|---|---|
| Booth frames, truss, counters, flooring | Standard | Dismantled where designed to, bundled and coded by structure; the assembly drawing photographed with it |
| Backdrops and printed fabric | Air-conditioned | Rolled on tubes, never folded; humidity cockles fabric prints |
| Roll-up and X-banners | Standard | In their cases, coded by campaign and size; a photo of the print face in the catalogue |
| Foam board, PVC and paper POSM | Air-conditioned | Flat, weighted, interleaved; foam board warps in a humid room within weeks |
| Sample kits and product displays | Air-conditioned | One kit, one box, contents listed; a par level on the kit count |
| Giveaways, brochures, bags, uniforms | Standard or air-conditioned by material | Counted in by the carton; par levels and low-stock alerts on each SKU |
| Lighting, screens, speakers, cabling | Air-conditioned | Serialised, in flight cases where you have them; batteries removed from remotes |
| Props, furniture, decor | By material | Wrapped and photographed; grouped by the event they belong to |
How an event runs through the store
- The kit for an event is a section in your account: the items it needs, starred or grouped, with counts. A brand launch, a trade show booth and a roadshow are three sections that share some items.
- Two days before, an orderer requests delivery of the section to the venue, with the venue's loading slot and the contact on site. The crew delivers to the loading bay or the stand as the venue permits.
- At close, the crew collects from the venue. Each item is photographed as it comes back; missing or damaged items are flagged in the catalogue against the event, so the loss sits with the right job.
- Consumables are counted back in. If giveaways fall below their par level, the low-stock alert tells the account manager before the next event, not during it.
- Between events, nothing is touched; the section is ready for the next request.
Venues and trips
Deliveries go wherever the event is: the exhibition centre in District 7, the event halls and hotels of Districts 1 and 3, a mall atrium, a store, a client's office. Each address is one delivery from the dashboard, priced by what rides on it: one trip fee with five boxes included, then per box and per piece, whatever the district. Venues with early morning loading slots are normal; tell us the slot and the crew is there for it. Deliveries outside the city are quoted.
Retail campaigns and POSM
For brand teams running quarterly campaigns across stores, the store works as a distribution point: campaign POSM comes in by the pallet, is counted by SKU, and goes out as one delivery per store on the launch date, each a trip. Last quarter's material comes back the same way and is either held for reuse or disposed of on request. The catalogue shows per-store what went where, which is the report the brand manager asks for.
Why not the agency's own room
A stock room in a central office costs office rent per square metre and holds things badly: foam board warps, fabric cockles, and nobody knows what is in the back. A Medium plan holds 24 boxes of material for 2,450,000 VND a month standard or 3,050,000 VND air-conditioned, catalogued, with a team login for the account managers and a VAT invoice for the finance team. The trip fees are the cost of not sending a junior in a taxi with three roll-ups at seven in the morning.
Experience
We work with corporate and B2B customers alongside households, and marketing teams are among the most demanding: dates that do not move, venues with their own rules, a kit that must arrive complete. The catalogue, the sections and the condition photographs exist because of that work.

Frequently asked
Can you deliver to an exhibition hall at 06:00?
Yes, given the venue's loading slot and the on-site contact when you request the delivery. Early slots are normal for event work.
How do we know what came back damaged?
Every item is photographed on collection from the venue and the photo sits in the catalogue against that movement. Compare with the delivery photo and the damage is dated.
Can several account managers use the store?
Yes. Each gets a login with a role; orderers request deliveries, admins manage items and sections, viewers see the catalogue. Every request records who made it.
Do you count giveaways and brochures?
By the carton on the way in, with a par level per SKU if you set one; low-stock alerts appear in the portal.
What about items that are not boxable, like a two-metre display?
Wrapped, photographed and counted as box equivalents by the crew. Anything over the plan size is quoted.
Store it, get it back when you need it
